Rockwood Service is currently recruiting for a operations support administrator. This role is critical in supporting field operations and the finance team by creating and managing jobs, processing time tickets, and provding additional administrative support. Successful candiates will have strong organizational skills, exepctional attention to detail, and the ability to communicate effectively to multiple teams.
Responsibilities:
- Create and set up new jobs in the internal job tracking system.
- Maintain up-to-date records of project progress, job costs, and resource utilization.
- Assist in preparing cost reports and variance analyses.
- Collect and review time tickets from field staff, ensuring accurate data entry.
- Verify time tickets for compliance with job scope and contracts.
- Enter and track time entries in the system for payroll and project costing purposes.
- Work closely with finance team to ensure timely processing of time tickets.
- Coordinate logistics for field teams, including scheduling equipment, materials, and deliveries to job sites.
- Monitor and arrange transportation and travel accommodations for field personnel.
- Maintain accurate and organized records of jobs, costs, time tickets, and logistics documentation.
- Prepare and distribute regular progress and cost reports to management.
- Ensure proper documentation for all field-related activities, including compliance records, permits, and certifications.
- Update and maintain records of equipment usage and inventory.
- Daily/weekly review of all data entry to ensure accuracy and completeness for payroll and billing.
- Input of all billing data into client systems as required; including reconciliation back to internal systems
- Close out and opening of PO’s with the client; cost tracking by PO
- Data integration between platforms
Requirements:
- The candidates we seek will have at least 2+ years of experience with in depth knowledge of invoicing, Payroll, time and attendance work on a client site or supporting remotely. Ideally supporting an industrial enviornment.
- Experience in job costing and project management software would be considered and asset.
- Business or Office Administration Certificate/Diploma/Degree an asset.
- Strong proficiency in MS Word/Excel/PowerPoint/Outlook with general knowledge of Accounting systems.
- Previous experience in accurate processing within a high-volume environment.
- Strong attention to deail for time entry and data entry skills.
- Ability to professionally and effectively build relationships.
- Demonstrate excellent oral and written communication skills.
- Experience working in an industrial environment would be considered an asset.
- Able to work independently with minimal supervision
